External portal¶
The external version of Sweet One is portal where customers, partners or other stakeholders can be given access by login to a platform where you can share information.
Access to the external portal can be given to: contacts, private persons and companies. New log in is created on the contact, private person or company from the More menu.
Creating external user login step by step¶
- open user’s registration view
- choose ‘create login’ in the more menu
- fill in information on the registration view, if an e-mail address is registered, this e-mail address will be suggested as a username
- save
- click on the ‘send new password’ button
The external user gets an email with ‘username’ and link. After clicking on the link the user is redirected to the page where he/she can create new password. After creating a password the user is able to log in to the external portal.
External portal
The External portal for contacts and private persons is divided into: Start, News, Offers, Information, Cases and Marketing.
Start - here the user can:
- edit the basic information about himself/herself
- access the GDPR part
- export pdf with personal data
- change the password
- log out
- upload/remove profile picture
News - here the user can see all the news (with/without attachments) added in the internal Sweet One with ‘external’ tag
Offers - here the users sees the events created in Sweet One by the internal user. The event is related to the marketing project. The external user has to be related to the marketing project and belong to the target group on the marketing activity - event. The external user has the possibility to ‘accept’ or ‘decline’ the event but not to open the event card. For the external user to see the event in the external portal the published dates need to be up to date.
Information - here the user sees the information post which is related to the marketing project and the external user. For the external user to see the Information in the external portal the published dates cannot be expired and status needs to be set to ‘published’.
Cases - here the user sees the list of cases related to him. The external user has the possibility to create the new case. On the case there is the possibility to create a note and attach a file.
Marketing project - here the user can see the marketing project to which he/she was related by the internal user. External user cannot change the status and edit info from the header. It is possible to add the attachment and create new: note, appointment, task, call and deal. External user sees only the deals which are related to him.
My activities - here the user can see the activities created by the internal user or his/hers activities (those are not marketing activities but the regular activities created on the marketing projects). The external user has to be related to both the marketing project and to the activity created in relation to this marketing project. The external user can open the activity card and edit/add certain information, create a note or set the activity to done.
The external portal for companies
The external portal for companies differs from the external portal for private persons and contacts. In the external portal for companies there is:
- no marketing part
- no possibility to create a new case
- no GDPR part in the Start section
- no possibility to export pdf
