Marketing¶
Thanks to marketing module available in Sweet Portal the user can create different marketing plans. Those marketing plans can be divided into different marketing projects to which you can add different marketing activities with target groups.
In the marketing module you can plan, implement and follow up your work withing marketing. Easily add responsible persons, documents, budget and activities. View the plans in a visual timeline and share information with other internal or external persons.
Feature marketing admin is required in order to see the marketing section in the side menu.
Marketing plan¶
Marketing plan is the highest level within Sweet’s marketing module hierarchy. It gives an overall view over the marketing information. Marketing plan can be used for a certain period of time (one year for instance), campaign, product line, geographical/business area or any other useful division of an organization’s marketing engagement. Marketing plan can be divided into marketing projects with different marketing activities.
Existing marketing plans are listed under Marketing plans submenu (to access the marketing section the user must have the feature marketing admin).
The view is divided into different lists by status and active/inactive state. Marketing plan’s name, start/end date and responsible user is shown on the list.
Create new marketing plan¶
New marketing plan is created form create new under marketing menu.
In the registration view the general information about the marketing plan should be added before it is saved and created.
Active check box - the marketing plan can be deactivated if needed
External - marketing plan can be accessed by external users when they are logged into the external portal.
Marketing plan view¶
The marketing plan view has four different parts: header, action bar, relations and tabs.
Header presents general information about marketing plan. Information can be edited in the edit mode. Status can be changed by clicking on a status in the status bar.
Actions
Insert - function to upload files
Tags - expands section for editing tags
More - expands section for additional actions such as, for example, new marketing project.
Relations
The relation section can be expanded/minimized by clicking on it. The list shows the responsible users related to the marketing plan. New responsible users can be added under the ‘more menu’ button in the action bar.
Tabs
Marketing projects - the list shows all marketing projects related to the marketing plan.
Timeline - shows a timeline view with marketing activities grouped by marketing project under the marketing plan. It is possible to hoover over a marketing activity in the timeline to see the additional information.
Note - list of all the notes saved on the marketing plan. It is possible to create new note (internal or external) as well as edit and remove the existing once. External notes will be available in the external portal for external users.
Document - the list shows uploaded files on the marketing plan. Files can be uploaded from the action bar on the marketing plan.
Marketing project¶
Every marketing plan can be related to several marketing projects. Marketing project can be used, for example, for managing different target groups, different areas or different organization groups. Every marketing project can be divided into several marketing activities.
The existing marketing projects are listed in the submenu marketing projects under marketing in the side menu. To access and see the marketing section in the side menu the user must have the feature marketing admin.
The view is divided into different lists by status and active/inactive state. Marketing plan’s name, marketing project’s name, start/end date and responsible user is shown on the list.
Create new marketing project¶
New marketing project is created from:
- Create new under marketing in the main menu
- More menu button in the action bar on marketing plan
In the registration view the general information about the marketing project should be added before it is saved and created.
Target quantity - the target number of people reached within the marketing project
Target response rate % - the target %-number of the reached people that responded within the marketing project
External - marketing project can be accessed by external users when they are logged into the external portal.

Cases - list of cases related to the marketing project. New cases and relations to existing ones can be added from the more-button in the action bar on the marketing project.

Marketing activities¶
Marketing activities create the most important level in marketing module hierarchy when it comes to planning and executing an organization’s marketing engagement. A marketing activity is a defined part of a marketing project or campaign with a set target group to communicate with.
Every marketing project can be related to several marketing activities which together are planned to achieve the goal of the marketing project.
There are five different kinds of marketing activities: • Telemarketing activity • Event • Information post • Distribution • Registration
Marketing activities are listed in the submenu marketing activities under marketing in the side menu. (To access and see the marketing section in the side menu the user must have the feature marketing admin).
There are two different lists under marketing activities in menu. My - which shows all active marketing activities related to me as a user. All - which shows all active marketing activities. A marketing activity is defined as inactive when the end date has passed.
Marketing activities are sorted and grouped by marketing plan and project. It is possible to filter by marketing activity type and export the list to excel.
Create new marketing activity
New marketing activities are created from the action bar on a marketing project.
Telemarketing Activity - TM¶
The purpose of this type of marketing activity is to plan, execute and follow-up a telemarketing initiative. Set a start date, select a target group and distribute it to one or several groups or responsible users/agents. Now your organization is ready to start processing the target group by calling. The responsible person/agent will work by a call list, found in Marketing lists in menu. When making a call a response code is set, notes and return date can also be entered.
Create new TM¶
New telemarketing activity is created from the action bar on related marketing project.
In the new register view the general information about the telemarketing activity is added before saving.
The following fields are connected to system logic and are, therefore, explained below:
Status - select status. Can be changed in the status bar on the telemarketing activity view.
Start - start date for the telemarketing activity. The target group will not be available for processing by responsible person/agents before the start date.
End - end date for the telemarketing activity. The telemarketing activity will be inactivated after the end date and the target group will no longer be available for processing by responsible person/agents.
No. active in target group - number of active ‘objects’ in the target group.
No. of unique items in target group - total number of ‘objects’ in the target group.
Description - description can be added in text or in HTML. One example when to use HTML can be in the case that a speaking script shall be added for the responsible person/agents.
External - set if the marketing activity shall be available for external users in the external portal.

Marketing activity - target group¶
Target group is a group of persons (contacts and private persons) or companies that are selected as target group for the telemarketing activity.
Add target group¶
The target group is added from a selection view. Select object type to add and make selection with help of filter and sort functionality.
When the preferred filters have been applied, select the rows you want to add as target group or use the select all function, and click add.
When the target group has been added it will appear in the list under the tab target group on the marketing activity view.
Working with target group¶
The target group is listed under the tab target group in the telemarketing view. The list can be used both for planning, changing and following up the target group during the progress of the telemarketing activity.
The list shows information about the target group posts (calls), such as contact details, response (if saved), return date (if saved) and if the post has been processed (Yes/No).
The target group list has following functions:
- Filter – search and filter the target group list
- Sort – set sort order by clicking on a column header
- Export to excel – export the result list to excel (download file or send as attachment in an e-mail)
- Options – edit filter and column options
- Actions – possibilities to perform different actions on selected rows in the target group list, see further on for more details.
Actions
Actions can help to administrate and organize the target group. By setting responsible, update response code, remove posts or add tags the target group can be managed and updated during the progress of the telemarketing activity.
By clicking on Actions, the list is set in select mode and actions become available.
Following actions are available:
Remove from list – action to remove selected posts from the target group.
Set responsible – action to set responsible user/agent for calling selected posts. This action is used for distributing the target group to different responsible users/agents. Already distributed posts can be selected for re-distribution.
Set response on selected rows – action to set response code for selected rows. There ia a number of available pre-defined response codes to be used. These are:
- Accepted – can be used when the target group post has ‘accepted’ the purpose of the call.
- Book appointment – can be used when the call has resulted in booking an appointment.
- Not reached 1st – used when there is no answer during the first attempt of calling.
- Not reached 2nd – used when there is no answer during the second attempt of calling.
- Not reached 3rd – used when there is no answer during the third attempt of calling.
- Not interested – can be used when the target group post has answered but declined the purpose of the call.
- Order – can be used when the call of the target group post has resulted in an order.
- Return – can be used when a return call shall be made.
Remove response on selected rows – action to delete response codes for selected posts.
Export selected rows to excel – action to create an excel file containing selected posts.
Send email with selected rows as Excel attachment – action to send an excel file containing selected posts to an email address.
Add tags (for contact/company/private person) – action to add tags for selected posts. Only posts of the selected object type will be affected.
Remove tags (for contact/company/private person) – action to remove tags for selected posts. Only posts of the selected object type will be affected.
Target group post - call¶
The target group post is the view of the call which is supposed to be made by a user/agent. By clicking on a row in the target group tab the post opens.
The target group post presents information about the call, either the one which has been made or the one which is planned.
Target group posts within an active telemarketing activity are listed under marketing lists in the side menu and available for users/agents to process by making the calls.
Event¶
The purpose of this type of marketing activity is to plan and follow-up an event for a target group. The event can be published in the external portal allowing the target group (contacts or private persons) to respond to the invitation by external login. The event information can also be used as a data source for events on an external website. Information about the event is administrated on the marketing activity view. Response code can be set from the external portal by the invitee or saved internally for setting response status or for marking the attendees for follow-up purposes.
New telemarketing activity is created from the action bar on related marketing project.
In the new register view general information about the telemarketing activity is added before saving. If the event shall be published in the external portal and available for external users to respond to the invitation, the event shall be saved as external (checkbox).
Event view¶
The event view has four different parts: header, action bar, relations and tabs.
The header presents general information about event. Information can be edited in the edit mode. Status can be changed by clicking on a status in the status bar.

Event - target group¶

Target group post - event¶
The target group post is the editable view of the invitation (event) information. By clicking on a row in the target group tab the post opens.
The target group post presents information about the invitation, such as response and notes.
Information post¶
The purpose of this type of marketing activity is to publish information for a target group (contacts, private persons and/or companies) in the external portal. The information post is designed in HTML and includes images, header, summary and text.
New information post is created from the action bar on related marketing project.
In the new register view general information about the information post is added before saving. The information post will only be available for the target group in the external portal when status is set to published and the checkbox external is marked. The publishing can also be controlled by setting publish start and end date.

Information post - target group¶
Target group is a group of persons (contacts and private persons) or companies that are selected to be invited to the event. Target group is added from the action bar. Under the Telemarketing activity section, you can read more about how to work with target group.
Information post - content¶
The information post is designed in the content tab. From here you can upload images to be presented in the information post and edit the content. The content is added and edited in three HTML sections: header, summary and text. By using the HTML editors together with the possibility to add images it is easy to create both simple and more advanced information posts. There is also support for using content templates.
Information post - external portal¶
In the external portal the target group can see published information posts.
